Bethesda CPA Introduces Five Tips To Prevent Embezzlement

(PRBuzz.com) January 18, 2013 -- Employee thefts, embezzlement, has business and government looking at their books and wondering what can be done to prevent embezzling.

"It's a serious matter. A recent arrest in the Motor Vehicle Department in a county in New Mexico has seen the employee charged with taking $24,000," the Rockville CPA. "In addition to the missing money, there's all the other money spent in researching how the money was taken, when it was taken and so forth. The real cost of embezzlement is often higher than the money taken."

So, what can companies do to protect the money? Internal controls are step one, said the Bethesda CPA. If in-house security procedures are not tough enough, a business is just asking to be ripped off, he said.

One simple idea is have one person fill out a deposit slip and another make the actual bank deposit. He also said deposits should be done daily for businesses with a sizable cash flow.

"A business owner also needs to look at bank reconciliation statements every month," Mr. Burton said. "If your employees are writing checks, you need to know where they are going. if you don't pay attention, they could be writing checks to themselves."

Mr, Burton offered this series of simple tips a business can use to reduce embezzlement.

1) A background check. This is not expensive in most cases and may turn up things an employer needs to know.

2) Use pre-numbered checks. Don't depend on a computer program to number checks.

3) Understand the books. A business owner who can't understand what his financial statements show is asking to be ripped off, Mr. Burton said. If the owner can't figure the books out, it's time to call in an expert and ask them to explain things, he said.

4) Require vacations. This may sound bizarre, but the vert best embezzlement schemes require regular maintenance. If the embezzler is not there to keep things running, it falls apart. By making employees take a vacation, financial matters can be monitored to see if anything changes.

5) Get a regular audit. In addition to being a good business practice, an audit can show irregularities and put a business in a much better position to explain things if the IRS comes knocking, Mr. Burton said.
